For multi-advisor RIA teams

One advisor tried ChatGPT. The rest of the team didn't.

Last updated April 13, 2026 · By Quiet Machines

Every RIA team has one person who's excited about AI and nine who haven't logged in. The problem isn't the tool — it's that nobody installed it for the whole firm. Quiet Machines flies in, watches how your team actually works, and installs AI that runs across every advisor, every workflow, every day. Not a pilot. An installation.

RIA teams on Salesforce FSC tend to need two integrations first: Salesforce FSC + Claude for the brain, Salesforce FSC + DocuSign for the paperwork loop.

The real problem

What you're actually dealing with.

The pain

AI adoption is stuck at one person.

You bought licenses. You sent the training video. One advisor uses it daily, three tried it once, and the rest never logged in. The tools aren't bad — they're just not installed. Nobody mapped them to your actual workflows, trained the team in person, or made sure it stuck.

What we install

A firm-wide install with in-person training for every advisor.

We spend three days on-site with your team — not on a Zoom. We watch how each advisor works, install workflows that map to your real workflows, train the team hands-on, and then run it with you for eight months until it's muscle memory. The adoption problem disappears when a human installs it and stays.

The workflows that matter most

What runs after we leave.

Client Brain

A shared, firm-wide memory of every client relationship — so any advisor can pick up any client and have full context in seconds.

Meeting Prep

Works for every advisor on the team, pulling client-specific context before each meeting regardless of who's running the review.

Lead Scorer

Scores inbound leads against your firm's historical close patterns and routes them to the right advisor automatically.

Content Studio

One content engine that produces in the firm's voice — not seven advisors each trying to write their own LinkedIn posts.

Admin Autopilot

CRM updates, task assignments, and operational handoffs between advisors — so nothing falls between desks.

The install in numbers.

Common questions

What firms like yours ask us.

How do you train a team of 10+ advisors in three days?

Day one is observation and wiring. Days two and three are hands-on training with the team — not a webinar, not a slide deck. We sit with each advisor and show them their specific workflows. Eight months of support after that means nobody gets left behind.

Can different advisors have different workflows?

Yes. The workflows are firm-wide, but how each advisor uses them can vary. The senior partner who manages HNW clients will use Meeting Prep differently than the junior advisor running first meetings. We tune it per person.

We're an ensemble practice. Does this replace our ops coordinator?

No. It makes them dramatically more effective. The Admin Autopilot handles the repetitive routing and updates; your ops person handles the judgment calls and client-facing work that requires a human.

What if some advisors resist?

That's why we're on-site. It's much harder to resist when the person building it is sitting next to you showing you how it saves you 45 minutes before your next meeting. We've never had a team where adoption didn't stick by month three.

What's the typical timeline for a multi-advisor RIA firm to see results?

Operational results — saved hours, faster follow-up, cleaner CRM — show up in week 3. Marketing and prospecting results — new leads attributable to AI workflows — show up in month 3 to 4. AEO citation traffic shows up in month 4 to 6. The firms that see results fastest are the ones that put the principal in the on-site week.

Do we need to switch CRMs or add new tools to do this?

Almost never. We've installed against every major advisor CRM and every major planning tool. The system runs on top of your existing stack. The only times we'd recommend a change are if your CRM has been EOL'd or if your current stack actively blocks the workflows we're trying to install.

What's the compliance picture for a multi-advisor RIA firm specifically?

Same as any RIA — the SEC's marketing rule and AI risk alert apply. The multi-advisor RIA angle adds some niche-specific items (state regulators, professional licensing rules, niche-specific data sensitivity). We pre-load the Compliance Reviewer workflow with the relevant references during the residency.

Do you have a case study for a firm like ours?

Reference clients on request after a fit call. We don't publish case studies because most of our clients prefer not to be public about the AI install — competitive advantage in a small market. We'll connect you with two principals who've done the same engagement once both sides agree.
