For solo advisors & one-person practices

You don't need to hire. You need to install.

Last updated April 13, 2026 · By Quiet Machines

Solo advisors wear every hat — planner, marketer, compliance officer, and admin. The firms that break past the solo ceiling aren't the ones who hire first. They're the ones who install AI that actually runs, so the advisor spends every hour on the thing only a human can do: sitting across from a client.

Most solo advisors we work with run on Wealthbox. The two installs that pay back fastest: Wealthbox + Claude and Wealthbox + Calendly.

The real problem

What you're actually dealing with.

The pain

Every hour you spend on admin is an hour you can't bill.

You know you need marketing content, meeting follow-ups, and a consistent touch-point cadence. But there's one of you. The back-office work stacks up, and the growth work never starts. Buying SaaS tools hasn't helped — you bought three already and none of them run themselves.

What we install

Workflows that run like a back office you don't manage.

We fly in for three days, watch how your practice actually works, and install AI workflows for meeting prep, content, lead scoring, compliance review, touch points, admin, and a Client Brain that remembers every conversation with every client. You own the stack. We run it with you for eight months.

The workflows that matter most

What runs after we leave.

Client Brain

A queryable memory of every client conversation, document, and preference — so you never walk into a meeting cold.

Meeting Prep

Pulls every email, statement, and planning note before each meeting. Five minutes of review instead of forty-five minutes of digging.

Content Studio

Quarterly letters, blog posts, and social content in your voice — drafted and queued, not generated and abandoned.

Touch Point Engine

Birthday notes, life-event check-ins, and between-meeting touches that make clients feel remembered without you tracking a spreadsheet.

Admin Autopilot

CRM updates, task routing, and the small operational work that eats two hours a day and produces nothing billable.

The install in numbers.

Common questions

What firms like yours ask us.

I'm a one-person firm. Is this overkill?

It's built for you. The workflows replace the five roles you're currently doing yourself on nights and weekends. Most of our solo clients say it's the first time they felt like they had a team.

I already use Jump / Zocks / a note-taker. Do I still need this?

Yes — if the other six workflows aren't running. A meeting tool handles meetings. We handle the other six things around it, and we'll wire your existing tool in.

What happens after the eight months?

You own everything. Every prompt, every workflow, every piece of content. If you fired us tomorrow, it all keeps running in your name on your accounts. Month-to-month support is available but never required.

Can I afford this as a solo advisor?

The math: $50,000 is roughly one year of a part-time admin hire, and the workflows don't quit, call in sick, or need to be trained twice. Most solo advisors recoup it inside the first quarter from time saved and leads that don't fall through the cracks.

What's the typical timeline for a solo-advisor firm to see results?

Operational results — saved hours, faster follow-up, cleaner CRM — show up in week 3. Marketing and prospecting results — new leads attributable to AI workflows — show up in month 3 to 4. AEO citation traffic shows up in month 4 to 6. The firms that see results fastest are the ones that put the principal in the on-site week.

Do we need to switch CRMs or add new tools to do this?

Almost never. We've installed against every major advisor CRM and every major planning tool. The system runs on top of your existing stack. The only times we'd recommend a change are if your CRM has been EOL'd or if your current stack actively blocks the workflows we're trying to install.

What's the compliance picture for a solo-advisor firm specifically?

Same as any RIA — the SEC's marketing rule and AI risk alert apply. The solo-advisor angle adds some niche-specific items (state regulators, professional licensing rules, niche-specific data sensitivity). We pre-load the Compliance Reviewer workflow with the relevant references during the residency.

Do you have a case study for a firm like ours?

Reference clients on request after a fit call. We don't publish case studies because most of our clients prefer not to be public about the AI install — competitive advantage in a small market. We'll connect you with two principals who've done the same engagement once both sides agree.
