How does AI handle client confidentiality at an RIA
A properly installed AI brain handles client confidentiality through three layers: data processing agreements with the underlying model provider that exclude training, encryption and access logging for every read and write, and a principle that no client PII ever touches a consumer-grade AI tool. Confidentiality is an install problem, not a tool problem.
The three layers
- Layer 1 — Contract. The model provider (OpenAI Enterprise, Anthropic, Azure) signs a data processing agreement that excludes your data from training and limits retention.
- Layer 2 — Pipeline. Every connection between your CRM, email, and the AI is encrypted in transit and at rest, with access logs.
- Layer 3 — Policy. A written rule at your firm that no client data goes into personal ChatGPT, Gemini, or any unapproved tool.
What breaks confidentiality
- An advisor pasting a client's portfolio into free ChatGPT to ask a question.
- A meeting note tool that stores audio on a third-party server with no DPA.
- A browser extension that ships every page you visit to an AI vendor.
- An email summarizer that processes your inbox without contractual protections.
What we do at Quiet Machines
Every install includes a written data architecture diagram showing exactly where each piece of client data flows. The principal signs off on it on Day 2 of the on-site build. If a connection isn't on the diagram, it doesn't exist.
